Important Updates to Our Booking and Fee Collection Procedures

In line with our commitment to providing timely and high-quality medical services, we are making some changes to our booking and fee collection procedures to ensure a smoother experience for both patients and doctors.

Fee Pre-Authorisation for Appointments

We will gradually introduce a fee pre-authorisation process based on the type of appointment you book. This pre-authorisation ensures that your appointment is reserved, and the appropriate time is allocated for your specific consultation. It is important to select the correct appointment type, as appointments such as standard, long, or mental health consultations require different time allocations and fees. Booking the wrong appointment type may cause issues during your consultation.

When you receive a secure link via SMS requesting pre-authorisation, please follow the instructions to enter your card details. If no card details are provided, the appointment will be automatically cancelled. Rest assured, no fees will be charged until your consultation is complete, and any pre-authorisation for bulk-billed consultations will be cancelled. If you have questions regarding the fee or item number, please speak to your doctor at the start of your consultation.

Cancellation / No-Show Policy

We have seen an increase in last-minute cancellations and no-shows, which affect both the availability of appointments for other patients and the overall efficiency of our practice. Moving forward, a cancellation/no-show fee will be applied if an appointment is missed without notice, in line with the expected consultation fee.

If you no longer need your appointment, please cancel it as soon as possible through your HotDoc profile or by calling the practice directly. We appreciate your understanding, as missed appointments can impact other patients, staff schedules, and practice resources.

We ask for your patience as we roll out this new system. If you experience any issues or have feedback, we encourage you to contact us as we continue refining this process. Additionally, any outstanding fees, including unpaid or no-show fees, must be settled before your next appointment.
