What is the best time to schedule the flu vaccination clinic?

Flu season typically runs from April to August. We recommend scheduling your clinic early in this period for maximum protection.

Can we vaccinate employees working from home?

Yes! Hybrid employees can use our voucher system to attend a Qualitas Medical Practice near them at their convenience.

How do we promote the program to our team?

We provide all necessary marketing materials, including posters, email templates and flu factsheets, to help you raise awareness and encourage participation.

What if one of my staff members is unable to attend the scheduled onsite flu clinic?

If a staff member cannot attend the onsite clinic, their vaccination can be converted into a voucher. The voucher can be redeemed at our North Sydney Clinic by following the link provided to book an appointment online.

Can I change the date of the flu clinic?

Yes, date changes are possible:

  • Postponement with 10 days’ notice: If the visit is rescheduled to a mutually agreed date within 30 days, no charges will apply.
  • Postponement with 3 days’ notice: A $200 rescheduling fee will apply for changes made within 3 working days of the clinic.

Please note that if the service is cancelled after a postponement, full cancellation fees as described in the Cancellation with 3 Days’ Notice policy will apply.

Will my staff experience side effects from the vaccine?

The influenza vaccine cannot cause the flu as it does not contain live virus. Some individuals may experience mild side effects, such as a sore arm, fatigue, or low-grade fever, which typically resolve within 1-2 days.

It’s important to remember that the vaccine takes up to two weeks to become fully effective. If someone contracts influenza just before or after receiving the vaccine, it may mistakenly appear that the vaccine caused the illness.

What happens if the clinic takes longer than expected?

Nurses are scheduled to deliver vaccinations based on an estimated rate of 3 vaccinations every 10 minutes (or 18 per hour). Delays caused by factors such as employee unavailability or medical reactions may result in additional charges of $150 per hour (pro-rata).

We recommend ensuring all staff members arrive promptly at their scheduled time to avoid delays.

Will I be updated on the status of voucher redemptions?

Yes, we will provide periodic updates on the number of redeemed vouchers and those still available. You can also request this information at any time. If applicable, you may have the option to access staff uptake data through an online portal—please inquire for details.

Can I order additional vaccine vouchers if demand exceeds expectations?

Yes, you can request additional vouchers if needed. Contact us as soon as possible, and we will do our best to accommodate your request. If additional vouchers cannot be issued, your staff can still visit our North Sydney practice to receive vaccinations.

Can the clinic be scheduled outside standard operating hours (8:00 AM – 6:00 PM)?

Yes, clinics can be arranged outside of standard operating hours. A surcharge of $100 per hour applies for services scheduled before 8:00 AM or after 6:00 PM, with a minimum charge of two hours. For example, a clinic scheduled from 6:00 AM to 7:00 AM will incur a two-hour surcharge.

How is the nurse’s onsite time calculated?

Nurses are allocated based on the estimated number of vaccinations, calculated at a rate of 3 vaccinations per 10 minutes. If delays occur that prevent meeting this rate (e.g., staff unavailability), additional charges for the nurse’s time will apply.

What preparations are needed onsite to ensure the clinic runs smoothly?

To keep the clinic running efficiently:

  • Ensure an onsite contact person is available upon the nurse’s arrival.
  • Provide a clean, private area or spare room for the vaccinations.
  • Encourage staff to arrive promptly at their allocated time slots.

What is the invoicing process for the flu program?

An initial invoice covering 50% of the estimated cost will be issued upon booking confirmation. A final invoice will be sent after the clinic, reflecting the actual number of vaccines administered and any additional fees. Unused vaccines can be converted into vouchers for staff to use at our North Sydney practice.

Can we receive a summary of the flu program’s uptake and outcomes?

Yes, after the program concludes, you will receive a detailed summary, including participation rates, redeemed vouchers, and overall program performance. This ensures transparency and helps evaluate the effectiveness of the initiative.
